that researchers should follow when using AI in manuscript writing or for research are transparency, accountability, fairness, privacy, and safety.

Transparency

You need to disclose what you used AI for, which AI tool, model, and version you used, and whether you checked its output. Don’t just say “We used Paperpal” but “We used Paperpal to proofread the paper and format the reference list. We verified all corrections made by the tool and take responsibility for the final contents.”

If AI was used in the research methodology, such as extracting data for a systematic review or generating analysis code, you also need to provide detailed information about what prompts you used, what was the AI output at each stage, and the exact checks you ran to verify that output.

Accountability

An AI tool or its developer cannot be held responsible for errors in your research paper. Only named human authors hold accountability. You not only cannot list AI as an author but you also cannot blame AI for accuracy issues raised during peer review (this is akin to an accountant blaming the calculator because their books don’t balance).

Fairness

This means you make sure that any AI tool you use treats all groups equitably and doesn’t reinforce or introduce stereotypes or biases. This is particularly important for disadvantaged and vulnerable groups.

Okay, you can argue that kind of fairness appears to be in the hands of the tool developers. But it’s also your duty to critically examine the training data of an AI tool you plan to use. Incomplete or less-representative data sets cause models to learn societal prejudices.

Privacy

Data privacy is what many institutional review boards (IRBs) take researchers to task about. Data uploaded into an AI tool can be considered “disclosure”, even more so if it’s a free tool that doesn’t have a clearly stated data retention policy. Many popular large language models (LLMs) like ChatGPT retain the right to use model inputs as training data in their free versions.

If you’re collecting human-subjects data, you should

Always inform your IRB about whether you plan to use AI in the study and for what

Choose, as much as possible, enterprise-grade AI tools that have a signed agreement with your institution regarding data retention and privacy.

Make sure data are fully anonymized before uploading into AI.

Check with your IRB about whether your informed consent forms also need to include a section on AI use in your study, in plain language.

Safety

Ensuring data safety if you’re using AI means doing the following:

Never input sensitive, confidential, or private participant data (like medical records or names) into public generative AI tools

Use local tools where possible, that run on your own computer, rather than tools on external servers.

Find out how any tool you’re using stores and transmits data. Use legit statistical software for this (SPSS, R, STATA, etc.).

Synthetic Data: What it is and how to use it

Synthetic data is generated by AI models to mimic the statistical patterns of real-world data. Its main purpose is to train machine learning models when real data is scarce, expensive, or private.

Example

If a hospital wants to let outside researchers develop methods on patient data, a synthetic version can allow that work without exposing individuals. Synthetic data is also useful for testing analysis pipelines before touching sensitive files, for teaching, and for sharing reproducible examples alongside a paper.

Advantages

The advantages of synthetic data are that

It’s cheap and fast to produce

It can cover edge-case scenarios like rare medical conditions

Since it’s fictional, it has fewer privacy and confidentiality requirements compared to data from real human subjects.

How to use synthetic data ethically

The most important thing researchers should do when using synthetic data is to disclose it. Your paper must describe how the data were generated, and explicitly report which conclusions rest on synthetic data. Never present synthetic results as empirical findings. That’s data fabrication.

Second, be sure to validate your conclusions. Conclusions that are based on synthetic data should be confirmed on real data before being treated as knowledge about the world. Synthetic data is a tool for developing and sharing methods. It doesn’t tell you about real human beings.

Checking AI Output for Hallucinations and Fabricated References

Using AI responsibly means setting up a solid hallucination verification workflow. This can prevent desk rejection for improper AI use.

Make sure all your co-authors are informed about any restrictions on using AI, agree to what tasks will be done using AI (including which tools), and who will verify the AI output, and how.

Keep a record of what tasks you used AI for, throughout the research process.

Save your prompts and AI output as shareable links in a separate file.

Set up a definite AI verification workflow for any AI output.

Before submission, re-read your journal guidelines and prepare an AI disclosure statement as required.

References

Guetterman TC, et al.
