Many English-second language authors find it quite difficult to write concisely, because they cannot find appropriate words to substitute long phrases. In fact, conforming to a given word count limit is difficult for native English speakers as well because they usually have so much to say and have to remember to keep it short.<\/span><\/span><\/p>\n

It\u2019s best to keep the journal requirements in mind and try to write concisely when you are drafting your manuscript itself. After you\u2019ve written your first draft, you can look through your manuscript critically to identify text that can be made more concise and sentences that can be shortened.<\/span><\/span><\/p>\n

Here are 10 tips to keep your manuscript concise:<\/span><\/span><\/p>\n

1.\u00a0<\/strong>Look out for sentences beginning with \u201cthere is a previous study on,\u201d \u201cit has been reported that,\u201d or similar phrases. Such sentences should be accompanied by reference citations, which make the above phrases redundant. These phrases can be deleted, leaving only the citation.<\/span><\/span><\/p>\n

Example<\/strong><\/span><\/span><\/em><\/p>\n

Original<\/u>: It has been reported that the incidence of Alzheimer\u2019s disease increases with age (Rogue et al., 2004).\u00a0(17 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>:\u00a0It has been reported that t<\/strike>T<\/u>he incidence of Alzheimer\u2019s disease increases with age (Rogue et al., 2004).\u00a0(12 words)<\/strong><\/span><\/span><\/p>\n

2.\u00a0<\/strong>Sentences carrying product names can be shortened by shifting the product name within parentheses.<\/span><\/span><\/p>\n

Example<\/strong><\/span><\/span><\/em><\/p>\n

Original<\/u>: The samples were analyzed on the ABC spectrophotometer (Zhejiang Scientific, Zhejiang, China) to determine the xyz values.\u00a0(17 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: The samples were analyzed on the ABC spectrophotometer<\/strike> to determine the xyz values\u00a0(ABC spectrometer; <\/u>Zhejiang Scientific, Zhejiang, China).\u00a0(15 words)<\/strong><\/span><\/span><\/p>\n

3.\u00a0<\/strong>Nominalizations, that is, the use of noun forms instead of verb forms, are a big contributor to wordiness, so look out for these. In the example below, using \u201cdiagnosed\u201d instead of \u201cdiagnosis\u201d makes the sentence shorter.<\/span><\/span><\/p>\n

Example<\/strong><\/span><\/span><\/em><\/p>\n

Original<\/u>: A diagnosis of cancer was made on the basis of the findings.\u00a0(12 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>:\u00a0A diagnosis of c<\/strike>C<\/u>ancer was\u00a0diagnosed<\/u>made<\/strike>\u00a0on the basis of the findings.\u00a0(9 words)<\/strong><\/span><\/span><\/p>\n

4.\u00a0<\/strong>In the results section, avoid stating individual values for groups, followed by the values for statistical significance. Instead, place the values within parentheses.<\/span><\/span><\/p>\n

Example<\/strong><\/span><\/span><\/em><\/p>\n

Original<\/u>: The protein level was 5 mg in Group A, while it was 3 mg in Group B, the difference being statistically significant (p < 0.05).\u00a0(25 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: The\u00a0difference in<\/u>\u00a0the protein level\u00a0was 5 mg in\u00a0<\/strike>between<\/u>\u00a0G<\/strike>g<\/u>roups A\u00a0and B<\/u>, while it was 3 mg in Group b, the difference being statistically\u00a0<\/strike>was<\/u>\u00a0significant (5 mg vs. 3 mg,\u00a0<\/u>p < 0.05).\u00a0(21 words)<\/strong><\/span><\/span><\/p>\n

5.<\/strong>\u00a0Check whether you can eliminate sentences containing very basic information that would be obvious to the target audience. Authors tend to add such statements especially at the beginning of the introduction and discussion. While it\u2019s important to establish the context, offering your audience very obvious information may come across as patronizing. <\/span><\/span><\/p>\n

Example<\/strong><\/em>: If you are writing a study about AIDS, avoid starting the introduction with a statement like \u201cAIDS is a life-threatening disease.\u201d<\/span><\/span><\/p>\n

6.<\/strong>\u00a0Look out for typical wordy phrases that can be replaced with less wordy options. Here are some common examples:<\/span><\/span><\/p>\n

7.<\/strong>\u00a0English grammar allows for repeated verbs in a sentence to be eliminated by using something called \u201celliptical constructions.\u201d<\/span><\/span><\/p>\n

Original<\/u>:\u00a0Group A was given cyclosporine, Group B was given FK506, and Group C was given chlorambucil.\u00a0(16 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: Group A was given cyclosporine; Group B,<\/u>\u00a0was given\u00a0<\/strike>FK506; and Group C,<\/u>\u00a0was given\u00a0<\/strike>chlorambucil.\u00a0(12 words)<\/strong><\/span><\/span><\/p>\n

8.<\/strong>\u00a0Most document-processing systems like MS Office consider hyphenated words as one word. So opt for hyphenated terms wherever possible.<\/span><\/span><\/p>\n

Original<\/u>:\u00a0After rehabilitation, the patients came to rely on themselves. (9 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: After rehabilitation, the patients became self-reliantto rely on themselves.<\/strike> (6 words)<\/strong><\/span><\/span><\/p>\n

9.\u00a0<\/strong>Using the active voice instead of the passive helps reduce the word count in certain constructions.<\/span><\/span><\/p>\n

Example<\/strong><\/span><\/span><\/em><\/p>\n

Original<\/u>: Written \u00a0informed consent was given by all patients. (8 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: \u00a0All patients gave W<\/strike>written \u00a0informed consent was given by all patients<\/strike>. (6 words)<\/strong><\/span><\/span><\/p>\n

10.\u00a0<\/strong>Avoid possessive constructions formed using \u201cof.\u201d<\/span><\/span><\/p>\n

Original<\/u>: Patients of Group 1 were followed up for 6 months, and those of Group 2, for 12 months.\u00a0(18 words)<\/strong><\/span><\/span><\/p>\n

Revised<\/u>: Patients of <\/strike>Group 1 patients were followed up for 6 months,\u00a0while<\/strike>and<\/u>\u00a0those of\u00a0<\/strike>Group 2 patientswere followed up<\/strike>,\u00a0for 12 months.\u00a0(15 words)<\/strong><\/span><\/span><\/p>\n

These guidelines will help you in reducing the length of your manuscript considerably without altering the content. But word reduction is never easy, and it often takes reading through the entire manuscript in several passes to be able to identify all possible areas allowing for conciseness. Unfortunately, if all else fails, you\u2019ll have to go over your content and decide what aspects can be eliminated.<\/span><\/span>
